Privacy Policy

IntellyPilot is operated by Mondivio (KVK 90316630, VAT NL004805638B79), Rotterdam, the Netherlands. This policy explains what personal data we process when you use the IntellyPilot platform (the Service), why we process it, and the rights you have under the EU General Data Protection Regulation (GDPR).

1. Data we collect

  • Account data: name, email, password hash, organisation, role.
  • Billing data: subscription tier, invoices, payment method tokens (held by our payment processor — we never see card numbers).
  • Content you create: drafts, posts, leads, contacts, campaigns and any files you upload.
  • Integration data: OAuth tokens and metadata for the third-party platforms you connect (Meta, Google, LinkedIn, TikTok, WhatsApp, etc.) — encrypted at rest.
  • Usage data: page views, feature interactions, errors, and IP address for security and product analytics.

2. Why we process it

  • To deliver the Service you subscribed to (contract).
  • To bill you and prevent fraud (legitimate interest, legal obligation).
  • To improve product quality and security (legitimate interest).
  • To send service announcements; marketing emails only with your opt-in (consent).

3. Sub-processors

We use trusted third-party providers to run the Service — for hosting and database storage, authentication, payment processing, transactional email, AI model inference, and error monitoring. They process data on our behalf under data processing agreements. A current list of these sub-processors is available on request at info@intellypilot.com.

4. International transfers

Data is stored within the EU where possible. AI model inference and some sub-processors may transfer data to the United States under the EU-US Data Privacy Framework or Standard Contractual Clauses.

5. Retention

Account and content data is retained while your subscription is active and for 30 days after cancellation, after which it is permanently deleted. Invoices are retained for 7 years per Dutch tax law.

You can also permanently delete all of your workspace’s data yourself at any time — from Settings → Compliance, or by choosing to close your account. This cancels your subscription and erases everything we hold for that workspace — contacts, content, integration tokens, and every uploaded or generated file — after a 7-day grace period during which you can cancel the request. Routine encrypted backups are purged on their normal rotation shortly afterwards; invoices held by our payment processor are retained as noted above. You can also export all of your data (right to portability) from the same screen before deleting.

6. Your rights

You can request access, correction, deletion, restriction, or portability of your personal data, and object to processing. Workspace admins can exercise the rights to portability and erasure directly in the product — export or permanently delete all workspace data under Settings → Compliance — or contact us at info@intellypilot.com. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
